This wording is a working draft prepared by Arkadia and has not yet been reviewed by Ballaz's legal adviser. It describes what the platform actually does, so the final text can be built on it - but it is not yet the binding version.

Who we are

Ballaz Development Academy is the data controller for the information described here. Our contact details are on the Contact page.

Ballaz is required to register as a data controller with Jamaica's Office of the Information Commissioner, and to appoint a Data Protection Officer where the scale of processing warrants it. Both are being confirmed.

What we collect

For a parent or guardian: name, email address, phone number, and a record of what you have registered, booked or bought.

For a child on a programme: name, date of birth, and an emergency contact. Where it affects safe participation, we also ask about allergies, current medication and relevant conditions.

We do not collect TRN, national ID or passport numbers, and we do not collect full medical histories.

Why we collect it

To deliver the programme, booking or order you asked for; to contact you about it; to keep children safe during sessions; and to meet our legal and tax obligations.

We use information for marketing only where you have separately agreed to it. That agreement is recorded, and withdrawing it stops marketing immediately without affecting service messages such as booking confirmations.

Children's information

A child cannot create an account. Every child record belongs to a verified adult guardian.

Staff only see what their role requires. A coach sees the children in their own sessions and nothing else. Staff who manage the store see no child information at all.

Access to health information is restricted and every access is logged.

Photographs and video

We ask for photo and video permission separately from any other agreement, for each child, and we never assume it. It is never bundled into a waiver and never pre-ticked.

You can withdraw permission at any time. When you do, the system prevents that child's images being published and we remove existing images.

How long we keep it

Health and emergency contact details are deleted shortly after the relevant session ends, because there is no reason to keep them.

Player and guardian records are kept while the family is active with us and for a period afterwards, since families commonly return. Financial records are kept as long as tax and audit rules require.

Where your information is held

The platform runs on infrastructure hosted outside Jamaica. That transfer is documented and assessed, and is subject to agreements with each provider.

Your rights

You can ask for a copy of the information we hold on you and your children, ask us to correct it, ask us to delete it, and object to particular uses.

Where we must keep a financial record, deletion means we anonymise it rather than destroy the transaction.

Payments

Card details are entered directly into a licensed payment provider and never reach Ballaz systems. We store only a transaction reference, the last four digits and the amount.
